Improving Design Management Workflows
Cubyts is a SaaS platform built for design managers, leaders, and designers. It’s designed to make collaboration smoother and take the heavy lifting out of design operations.
At the core of Cubyts is a focus on elevating the design function, providing a tailored solution for optimal collaboration and efficiency within the creative process.
Here are a few key features I helped shape as part of this journey.
Challenges that stood out through user feedback
Project Overview felt like busywork. Managers didn’t want to spend time filling long briefs, and designers weren’t looking at them anyway.
Timesheets were a weekly chore that designers dreaded, while managers struggled to see real team health.
The Upload Widget was clunky, limited uploads, had no
multi-select, and was an intrusive modal.
Onboarding had a huge drop-off. Too long, too unclear, and not at all welcoming.

The project brief page was intended as a centralized space for managers to input crucial details like the brief, scope, target audience, and design process. However, users found it tedious to input the full brief.
Designers weren't referring to this document. Unfortunately, it proved redundant, lacking value for the team.

Designers had an auto filled timesheet with edit options. This saved them the time nd effort of daily inputs anreduced errors.

Problem
One of the main features Cubyts offers is a rich and smart design repository.
In its 1st version the upload flow had a few flaws that we tackled with a new widget design and seamless flows.

Documents and images could not be uploaded together.

Maximum10 files could be uploaded at a time. No multi-select option.

Upload modal popped up before file selection and stays until all uploads are complete.

Problem
The experience suffered from a major drop-off due to a lengthy and unpleasant process. Insufficient information and a lack of clear directions compounded the problem, making the overall user experience frustrating and dissatisfying. This created an environment of uncertainty.

Graphical representation of the features would help users to get an idea of what the platform is capable of. For this we used bright pastels to highlight important information, bold text to grab attention. soft corners, large shadow effects, highlight action areas

These updates turned some of the most frustrating parts of the platform into value-adding moments. Managers got clearer insights, designers spent less time on admin, and the platform itself started feeling more welcoming and intuitive.
